1. About this policy
Wisely Driven Consulting, operated by Philip Couboura (“we,” “us,” or “our”), operates ChatVoice at chatvoice.dev. This policy describes what personal information we collect, why we use it, when we share it, how long we keep it, and the choices available to you.
This policy applies to ChatVoice account holders, visitors to our website, people who use the product demo, and people who interact with ChatVoice on a customer's website.
2. Information we collect
Depending on how you use ChatVoice, we may collect:
- Account and business information: name, business or organization name, email address, authentication identifiers, plan, account status, and service settings.
- Trial and security information: registration IP address for trial-abuse prevention, login and request information, browser and device details, server logs, error records, and other technical data.
- Knowledge-base and configuration content: uploaded PDF files, extracted text, agent instructions, greetings, branding, and widget settings.
- Chat information: messages, AI responses, session identifiers, and timestamps from customer widgets and the ChatVoice website demo.
- Voice interaction information: voice audio sent for real-time processing, resulting transcripts, AI-generated summaries, interaction duration, and any name, email address, or phone number provided during the interaction.
- Calendar information: encrypted Google OAuth tokens, calendar connection data, event details, time zones, and attendee names and email addresses.
- Billing information: Stripe customer and subscription identifiers, plan, payment status, and transaction details. Stripe processes payment-card details; we do not store full card numbers.
- Communications: support messages, deployment requests, and other correspondence with us.
3. How we collect information
We collect information directly from account holders and widget users, automatically when our website, APIs, and widgets are used, and from service providers such as authentication, billing, calendar, hosting, email, and AI providers. A ChatVoice customer may also configure its widget or provide information about people who interact with that widget.
4. Why we use information
- Provide, authenticate, configure, and support ChatVoice accounts and subscriptions.
- Answer chat messages using the customer's knowledge base and process browser-based voice interactions.
- Create transcripts and summaries, display conversation history, measure voice usage, and let customers follow up with visitors.
- Connect Google Calendar and create requested appointment events.
- Process billing, send service communications, fulfill deployment requests, and maintain business records.
- Prevent duplicate-trial abuse, protect accounts and infrastructure, troubleshoot errors, enforce our terms, and comply with law.
5. Customer widgets and the website demo
When you interact with ChatVoice embedded on a customer's website, the chat, transcript, summary, contact, and booking information generated by that interaction may be available to the business operating the widget. That business is responsible for its own privacy notice, consent practices, and use of your information. We process that information to provide ChatVoice to the business.
Interactions with the ChatVoice demo on our homepage are real product interactions. Chat messages, voice transcripts, summaries, durations, and information you choose to provide may be saved in the same way as other ChatVoice conversations. Do not enter sensitive information into the demo.
6. Service providers and disclosures
We use service providers to operate ChatVoice, including:
- Supabase for authentication, database, and file storage;
- Google Gemini for chatbot response generation;
- OpenAI for real-time voice processing, transcription, and conversation summaries;
- Google Calendar for optional calendar access and event creation;
- Stripe for subscriptions, checkout, and the billing portal;
- Resend for transactional service email; and
- Vercel for application hosting and delivery.
These providers process information under their own terms and privacy practices. Information may be processed or stored outside Canada and may be subject to the laws of those jurisdictions. We may also disclose information when required by law, to protect rights and safety, or as part of a business sale or reorganization with appropriate safeguards.
We do not sell or rent personal information.
7. Google Calendar connection
Connecting Google Calendar is optional. ChatVoice requests the Google Calendar calendar.events and calendar.readonly permissions and uses the connection for booking and event creation. It does not use those permissions to scrape email or contacts. Booking data may include event title, date and time, time zone, description, attendee name, and attendee email address.
Account holders can disconnect Google Calendar from the ChatVoice dashboard, which removes the stored connection tokens, and can separately revoke ChatVoice permissions in their Google account settings.
8. Storage links and sensitive information
Uploaded PDFs and their extracted text are stored to provide the shared knowledge base. Stored PDF files are accessed through generated links. Do not upload personal or confidential information that is not necessary for your agent.
9. Consent and lawful use
We collect, use, and disclose personal information with consent or as otherwise permitted or required by law. Consent may be express or implied depending on the circumstances and sensitivity of the information. You may withdraw consent, subject to legal or contractual restrictions and reasonable notice, but this may limit our ability to provide ChatVoice.
Customers are responsible for providing appropriate notice and obtaining any required consent before enabling chat, voice recording or transcription, contact collection, or calendar booking for their visitors.
10. Retention and deletion
We keep personal information only as long as reasonably needed for the purposes described in this policy, to provide an active account, resolve disputes, maintain security, or meet legal and accounting obligations. Retention varies by record and we do not promise automatic deletion on a fixed schedule.
Billing and tax records are normally retained for seven years. Chats, call records, transcripts, summaries, knowledge-base content, and account data may remain while the account is active and afterward where reasonably needed for the purposes above. Replacing a PDF updates the active knowledge-base record but does not guarantee immediate deletion of every previously stored file. Contact us to request deletion, subject to legal and operational limits.
11. Safeguards
We use safeguards appropriate to the nature of the information, including encrypted network transmission, authenticated account controls, encryption of stored Google OAuth tokens, service access controls, and operational monitoring. No online service can guarantee absolute security. The public transcript-link limitation described above is an important exception you should consider before using voice features for sensitive matters.
12. Cookies and local storage
ChatVoice uses cookies that are necessary for account authentication and session management. The interface may also use browser local storage to remember a theme preference, and session storage for temporary interface state. You can remove or block these through your browser, but account and dashboard features may stop working correctly.
13. Access, correction, and privacy choices
You may ask us to:
- explain whether we hold personal information about you and how it is used;
- provide access to personal information, subject to lawful exceptions;
- correct inaccurate or incomplete information;
- withdraw consent or request deletion, subject to legal, contractual, and operational limits; or
- address a concern about our privacy practices.
We may need to verify your identity before completing a request. We will respond to access requests within 30 days, subject to legally permitted extensions and exceptions. If a widget customer controls the relevant information, we may direct the request to that business.
If we do not resolve your concern, you may contact the Office of the Privacy Commissioner of Canada.
14. Changes to this policy
We may update this policy to reflect changes to ChatVoice, our providers, or applicable law. We will post the revised policy with a new effective date and provide reasonable notice of material changes when appropriate.
